Sampling Protocol &
Customization Architecture
Engineering commercial precision into physical beauty hardware. Our rigorous sampling framework establishes measurable dimensional tolerances, material benchmarks, and legally sound written baselines prior to commercial batch production.
Written Engineering Over Assumptions.
Every prototype review is governed by strictly documented parameters: structural drawings, pantone formulations, durometer hardness, and certified substrate compositions.
Standard Operating Procedure
Mandatory compliance framework for OEM/ODM prototype initiation and sign-off
Custom Sample Fabrication
Physical specimens are engineered strictly to approved client briefs. We do not maintain speculative retail inventory. Rapid 3D mockups, custom mould trials, and manual bristle alignments are deployed exclusively under dedicated project numbers.
Includes 1-to-2 physical golden reference units per specification iteration.
Sample Fees & Express Freight
Sampling fees cover tooling, custom tooling inserts, bespoke materials procurement, and craft labor. All international courier expenses (DHL/FedEx/UPS), customs handling, and local import tariffs are the direct responsibility of the buyer unless credited via confirmed purchase agreement.
Sampling fees may be deducted from mass production deposits exceeding agreed tiered thresholds.
Review Window & Validity
Clients are allotted a standard review window of 10 business days from physical delivery receipt to provide formal feedback. Factory tooling setups, material batches, and manufacturing reservations remain valid for 30 calendar days from initial specimen dispatch.
Unconfirmed samples exceeding 30 days trigger automatic slot release and price re-indexing.
Iterative Revisions
Feedback must be compiled into a single unified design addendum. Minor aesthetic refinements (such as logo positioning adjustments <3mm or standard Pantone shifts) are executed in Phase II sampling. Significant structural deviations require formal amendment.
Fragmented, multi-channel verbal revision requests are not admitted into production logbooks.
Six-Point Specification Lock
No tooling or mass assembly initiates without counter-signed engineering documentation detailing: (1) Technical Drawings, (2) Outer/Inner Dimensions, (3) Certified Raw Materials, (4) Pantone Color Codes, (5) Logo Foil/Emboss Vectors, and (6) Retail Packaging Die-lines.
Signed specifications supersede any prior informal conversations or digital mockups.
Recalculation & Rescheduling
Any modification requested after physical sample sign-off or deposit transfer necessitates an immediate pause. PinDai reserves the right to issue revised unit pricing, recalculated MOQ tiers, and extended manufacturing lead times based on factory re-tooling requirements.
Work resumes solely upon client approval of the supplemental commercial quote.
Sample Sign-Off &
Permissible Commercial Tolerances
Physical reference samples represent target benchmarks developed under controlled studio environments. Industrial mass manufacturing inherently encompasses acceptable international engineering variances. Approval of a pre-production specimen establishes alignment with specified quality criteria, not a guarantee of absolute zero-variance across volume manufacturing batches.
Material & Color Dye-Lots
Subtle delta variations (ΔE ≤ 1.5) may occur between prototype material swathes and continuous bulk industrial dye lots for vegan leathers, fabrics, and anodized aluminum ferrules.
Dimensional Tolerances
Sewn soft goods retain standard craftsmanship allowances of ±2-3mm. Molded hardware and CNC components adhere strictly to ISO/DIN precision tolerances specified in the approved drawings.
AQL 2.5 / 4.0 Governance
Pre-shipment bulk quality verification is conducted under internationally recognized ISO 2859-1 (MIL-STD-105E) sampling plans. Third-party inspection protocols are fully accommodated.
Governed Under Unified Master Supply Terms
This customization guideline forms an integral operational schedule to our broader trading conditions, including Incoterms definitions, payment milestone covenants, and export clearance provisions.
